Informal Email Writing Format for Students

In order to equip the student with 21st-century skills, it is necessary for students to apply their knowledge of letter writing in email. Students should read the email writing samples to understand the format of an informal letter.

I. What Is an Email Writing?

An email, otherwise called electronic mail, is a method of exchanging letters immediately through the Internet from one system to another. The old form of letter writing has largely been replaced by email.

  1. Uses of an Email
    • Email helps to contact the person at any time of the day. With modern technology, an email can be sent to anyone with an email address with a single click.
    • It can be used as a means of business communication.
    • In schools and colleges, Emails can be sent to apply for admissions and receive results and other important notifications.
    • It can be used as an informal communication tool where simple language is used.
  2. Types of Email
    1. Formal Email:A formal email is sent to government departments, companies, offices, and school or college teachers or principals.
    2. Informal EmailAn informal email can be written to your friends, relatives and family members and received from them. An informal email is written in a casual and friendly tone. However, you should write politely and must greet and close the email properly.

      We will focus on the Email Writing Format for Students of an informal email.

    Let us look at each of the format’s elements.

    To: Here, you must mention the email address of the receiver. Without an email address, neither the sender nor the receiver can send or receive an email.

    Cc/Bcc:This is mostly used in formal letters. The full form of ‘cc’ is ‘carbon copy’. And the full form of ‘bcc’ is ‘blind carbon copies. In the past, carbon paper was used to make copies of letters. Owing to the terms ‘cc’ and ‘bcc’ are still used extensively. Both cc and bcc are used to send copies of an email to another person apart from the receiver. However, this is not required in informal emails until and unless it is a mass invitation to many people.

    Subject: A subject line consists of what the email is about in a few words.

    Salutation: The salutation used in an informal email depends on the kind of relationship you have with the receiver.

    Example:

    • Dear (name of the receiver)
    • Dearest (name of the receiver)

    Introduction: This is the first paragraph of the email. It gives the receiver the purpose of the email. This paragraph will be very brief. It could also ask about general well-being.

    Example:

    It has been a long since I have heard from you. Hope it is all fine on your end.

    Body: The body of the email varies as per the purpose of the email. This part of the email is written after the introduction. Here you can describe what you want to convey in detail.     Conclusion: The conclusion is a final message before sending the email. There is no fixed format to conclude an email.

    Example:

    Signature: This involves the name of the sender. Some of the common phrases sign off are:

    Yours loving,
    Yours sincerely,

So thoughtful of my cousins to send a beautiful card that they had made.

II. Punctuation

Punctuation in informal emails gives the reader an understanding of what you want to convey. Punctuation includes full stops, capital letters, commas, question marks, exclamation marks, colons and semi-colons.

IV. Adverbs

An adverb is a word that modifies an adjective, a verb or another or a sentence.

You can use adverbs like luckily, surprisingly, honestly, personally, frankly, and hopefully. Usually, they appear at the beginning of the sentence.
